Job Summery
As a Corporate Event Assistant, you will work closely with the Event Manager to plan,
organize, and execute corporate events for the company. You will be involved in various aspects
of event planning, from pre-event preparations to post-event follow-up.
Responsibilities:
1. Event Planning Support:
Collaborate with the Event Manager to conceptualize and plan corporate events,
including conferences, seminars, product launches, team-building activities,
and more.
Assist in researching and selecting venues, vendors, and suppliers for the events.
Help with creating event budgets and tracking expenses to ensure financial
guidelines.
2. Logistics Coordination:
Coordinate event logistics, such as venue setup, audio-visual equipment,
transportation, catering, and accommodation arrangements.
Ensure all necessary permits and licenses are obtained, and compliance with
relevant regulations are maintained.
Prepare and distribute event materials, such as invitations, agendas, and
handouts.
3. Communication and Coordination:
Communicate with internal teams, stakeholders, and external vendors to ensure
smooth execution of events.
Act as a point of contact for event-related queries and provide timely and
accurate responses.
Assist in managing and attendee registration processes.
4. On-site Event Support:
Assist with on-site event management, including setup, registration, attendee
assistance, and troubleshooting.
Coordinate with vendors and staff to ensure seamless event execution.
Address any issues that may arise during the event and find appropriate
solutions.
5. Post-Event Follow-Up:
Assist in post-event evaluations and surveys to gather feedback from attendees
and stakeholders.
Summarize event data and prepare post-event reports, identifying areas for
improvement and lessons learned.
6. Administrative Tasks:
Perform administrative duties, such as maintaining event records, managing
calendars, and organizing documents.
Support the Event Manager in various tasks to ensure efficient event planning
and execution.
Experience and Qualifications:
Proven experience (either through formal education or previous work) in event
planning, hospitality, or a related field.
Strong organizational skills and attention to detail.
Excellent communication and interpersonal abilities.
Ability to work under pressure and manage multiple tasks simultaneously.
Proficiency in Microsoft Office and event management software is a plus.
Flexibility to work evenings, weekends, and travel as required for events.
